Your Privacy at Digital Human Library
Digital Human Library (“dHL”) offers a collaborative community environment that promotes professional learning through mentorship and digital experiential learning, and provides online program registration services to facilitate the enrolment and registration of yourself or other authorized members (collectively, “you”, “your”, or applicable derivation thereof) for the program(s) and/or service(s) you have selected (the “Services”) through its website (the “Site”) (collectively, the “Products and Services”).
Your privacy is important to Digital Human Library. This Privacy Policy (the “Policy”) sets out dHL’s information practices, including what types of information are collected, how that information is used, and with whom it is shared. We are committed to the responsible collection, use, and disclosure of personally identifiable information (“Personal Information”) in compliance with applicable Canadian and United States privacy laws.
This Policy may be amended from time to time. See “Questions and Further Information” below for an explanation of how we will notify you of any future changes.
In this Policy, “we”, “our”, “us”, and “Digital Human Library” mean Digital Human Library. “You” and “your” mean an individual who has agreed to use our Site for registration, enrolment, or to request information about our Services.
Applicable Law and Jurisdiction
dHL operates under and is committed to compliance with the following privacy frameworks, as applicable:
Canada
- Personal Information Protection and Electronic Documents Act (PIPEDA) and its successor legislation, including the proposed Consumer Privacy Protection Act (CPPA)
- Applicable provincial privacy legislation, including Ontario’s Municipal Freedom of Information and Protection of Privacy Act (MFIPPA) and Alberta’s Personal Information Protection Act (PIPA)
United States
- Children’s Online Privacy Protection Act (COPPA)
- Family Educational Rights and Privacy Act (FERPA)
- Applicable state privacy laws, including but not limited to the California Consumer Privacy Act (CCPA) where applicable
- Applicable state data breach notification laws
dHL does not collect student Personal Information and therefore does not operate as a covered entity under FERPA or COPPA. However, educators and institutions using the Site in a classroom context remain independently responsible for their own compliance with those laws, as well as PIPEDA, applicable provincial legislation, and — where applicable — US state privacy laws including the CCPA.
This Policy will be updated as required to reflect changes in applicable legislation, including the coming into force of Canada’s Consumer Privacy Protection Act when enacted.

Collection of Personal Information
Who May Register
dHL memberships are available only to certified educators and verified industry professionals. Students are not permitted to create accounts on the Site. All student participation must occur under the direct supervision of a teacher or authorized educational institution.
dHL does not collect, store, or process any student Personal Information. No student data passes through or is retained by the Site at any time.
Public library database access does not require registration. dHL does not collect Personal Information from public libraries or their members in connection with such access.
Information We Collect from Members
The only Personal Information dHL requires from member educators and industry professionals at the time of registration is:
- Your email address; and
- Your country of residence.
You may voluntarily provide additional information to enhance collaboration within the dHL community, such as a profile description, grade(s) taught, curriculum focus, areas of expertise, and social media handles. This additional information is entirely optional and is not a condition of membership.
By submitting Personal Information to dHL, you agree that we may use and disclose such information as described in this Policy and as permitted or required by applicable law.
Payment Information
Members who subscribe to dHL’s premium membership tier are required to provide payment information at the time of purchase. All payments are processed through a secure third-party payment gateway that meets applicable Payment Card Industry Data Security Standards (PCI-DSS). dHL does not collect, store, or have access to your full payment card details. Your payment information is handled exclusively by the payment gateway provider and is subject to that provider’s terms and privacy policy.
Device and Technical Information
When you access or use a Product or Service through a digital channel (such as a website or mobile application), we may collect information about your device, operating system, internet connection, IP address, device location data, settings, and transaction data. We collect, use, and retain this information to:
- Determine appropriate settings for your device or system;
- Provide or enhance digital functionality;
- Maintain security; and
- Conduct internal analysis and reporting.
You may withhold consent to the collection of this information, although doing so may limit your ability to access or use certain Products or Services, or may reduce their functionality.
Cookies and Tracking Technologies
dHL uses cookies and similar tracking technologies on the Site to identify users, analyze usage patterns, and support member communications. Cookies are small text files stored on your device that help us recognize your browser and preferences.
Types of Cookies We Use
Essential Cookies — Required for the Site to function. These cannot be disabled without affecting core Site functionality, such as logging in or accessing member features.
Analytics Cookies — Used to understand how members use the Site, which pages are visited most frequently, and how members navigate through our content. This helps us improve the Site experience.
Marketing and Communications Cookies — Used to manage member communications, track engagement with our emails and content, and support our outreach activities.

Google Analytics
We use Google Analytics to analyze Site traffic and usage patterns. Google Analytics collects information such as your IP address, browser type, pages visited, and time spent on the Site. HubSpot
We use HubSpot to manage member communications, email marketing, and engagement tracking. HubSpot may collect information about your interactions with our emails and website, including open rates and click activity. This data is processed by HubSpot in accordance with HubSpot’s Privacy Policy. You may opt out of HubSpot marketing communications at any time by clicking the unsubscribe link in any dHL email or by contacting us directly.
Managing Your Cookie Preferences
You may configure your browser to refuse some or all cookies, or to alert you when cookies are being set. Please note that disabling certain cookies may affect the functionality of the Site. Instructions for managing cookies are typically found in your browser’s settings or help documentation.
Our use of cookies and tracking technologies does not enable third parties to access your Personal Information beyond what is described in this section.
Security
dHL hosts all data on secure Canadian servers. To prevent unauthorized disclosure, copying, use, or modification of Personal Information, access is restricted through recognized security mechanisms including passwords, encryption, and other reasonable safeguards.
Users accessing the Site from the United States acknowledge that data may be stored and processed in Canada, and that such storage is subject to Canadian law, including lawful access by Canadian government authorities.
Use and Disclosure of Personal Information
dHL is committed to the protection of all Personal Information collected, used, and disclosed in the operation and management of its activities.
Personal Information will not be used or disclosed for purposes other than those for which it was collected, except with your consent or as required by law.
Personal Information may be used or disclosed for the following purposes:
- To verify and vet all member applications;
- To understand your needs and assess the suitability of our Products and Services for you;
- To determine your eligibility for our Products and Services;
- To set up, manage, and deliver Products and Services that meet your needs;
- To provide you with ongoing access to Products and Services, including premium membership features;
- To process payments and manage billing for premium memberships;
- To recognize and celebrate your achievements within the dHL community;
- To communicate with you about your account, products, services, or updates to this Policy;
- To analyze Site usage and improve the member experience through tools including Google Analytics and HubSpot; and
- To satisfy legal and regulatory requirements applicable to dHL.
Third-Party Disclosure
Your consent must be obtained before Personal Information is disclosed to third parties, except where disclosure is required by law or law enforcement. dHL will only provide Personal Information to third parties where:
(a) your written consent has been obtained; and
(b) the third party can demonstrate that it has in place data protection measures comparable to those maintained by dHL.
Where Personal Information is shared with third parties on an ongoing basis, updates and amendments to that information will be provided to them regularly.
Retention and Deletion of Personal Information
dHL will retain your Personal Information for a period of one (1) year following the end of your use of the Services, to ensure you have a reasonable opportunity to request access to your information during that time.
Upon the expiry of the retention period, or upon a valid deletion request, your Personal Information will be permanently deleted from dHL’s systems. This includes your email address, country of residence, and any voluntarily provided profile information. Where data has been shared with third-party tools such as Google Analytics or HubSpot, dHL will take reasonable steps to request deletion in accordance with those providers’ policies.
Data that has been rendered fully anonymous and can no longer be linked to you as an individual is not subject to deletion requirements and may be retained for analytical purposes.
Disposal of Personal Information
Personal Information that is no longer required to fulfil the purposes identified in this Policy will be permanently erased, rendered anonymous, or destroyed in such a way that it cannot be reconstructed or retrieved.
Access to Personal Information
Upon written request, dHL will provide you with information regarding the existence, use, and disclosure of your Personal Information, and will make that information available to you, except where doing so would:
- Violate another individual’s right to privacy, unless that individual consents to disclosure;
- Violate solicitor-client or attorney-client privilege; or
- Compromise security or legally recognized commercial proprietary interests.
Personal Information will be made available to requesters at no cost and in a form that is reasonably understandable.
US residents may have additional rights under applicable state law, including the right to know what Personal Information is collected, the right to request deletion, and — where applicable under the CCPA — the right to opt out of the sale of Personal Information. dHL does not sell Personal Information. Monitoring and Recording
You agree that dHL may monitor, record, and retain telephone calls and electronic communications made with or through the Site. This is to maintain an accurate record of the information you provide, to ensure your instructions are followed correctly, and to uphold service quality standards. Records are destroyed when no longer required for business or legal purposes, and any Personal Information contained in such records is safeguarded in accordance with this Policy.
We may request certain Personal Information for marketing purposes. Your consent to such use is not a condition of doing business with us and may be withdrawn at any time (see “Refusing or Withdrawing Consent” below).
You agree that all information you provide to us will, at all times, be true and complete. If any Personal Information changes or becomes inaccurate, you are required to notify us promptly so that we may update our records.
Recording by Content Partners and Experts
While using the dHL network, content partners and experts are not permitted to photograph, record, or film students without prior written consent from the classroom teacher. Failure to comply with this requirement will result in the immediate removal of the content partner or expert from dHL. In serious cases, violation of this policy may result in legal action and/or prosecution.
Recording by Teachers
While using the dHL network, teachers are not permitted to photograph, record, or film content partners or experts without their prior written consent. This includes AI-generated transcripts or summaries of sessions. Failure to comply with this requirement may result in removal from dHL. In serious cases, violation of this policy may result in legal action and/or prosecution.
Data Breach Notification
In the event of a breach of security involving your Personal Information that creates a real risk of significant harm, Digital Human Library will:
- Notify affected individuals as promptly as circumstances permit;
- Report the breach to the relevant privacy regulatory authority where required by applicable law, including under PIPEDA and applicable US state breach notification laws; and
- Take immediate steps to contain the breach and prevent further unauthorized access.
Notifications will describe the nature of the breach, the Personal Information involved, the steps dHL has taken in response, and what steps you can take to protect yourself. If you believe your account has been compromised, contact our Privacy Officer immediately at the address provided above.
Refusing or Withdrawing Consent
Subject to legal, regulatory, and contractual requirements, you may refuse to consent to our collection, use, or disclosure of your Personal Information, or withdraw your consent at any time by giving us reasonable notice. Depending on the circumstances, withdrawal of consent may prevent us from providing you with some or all Products and Services, or certain information that may be of value to you.
We will act on your instructions as promptly as possible; however, certain uses of your information may not be possible to stop immediately. You may notify us at any time to stop using your information for the purpose of promoting our Products and Services or those of third parties.

Privacy and Electronic Communications
dHL cannot guarantee the confidentiality of communications made by email or through the Site. If you wish to share information of a confidential or sensitive nature with dHL, please contact your dHL representative directly by telephone to arrange for secure transmission of that information.
Links to Third-Party Sites
Our Site may contain links to third-party websites that have privacy practices and policies different from our own. dHL is not responsible for the content or practices of any linked site. We recommend that you review the privacy policy of any site you access through ours. The inclusion of a link to a third-party site does not imply endorsement by dHL.

Your continued use of the Products and Services following any such change constitutes your acceptance of the revised Policy.
